What is the Pre-Approval Process?

A scholarship parent may use the pre-approval request form to seek assurance that reimbursement will be granted for items or services paid out of pocket for the current school year. Scholarship parents may submit a Pre-Approval Request Form at any time during the school year, and may submit as many requests as they would like for each student. All requests for Pre-Approval will be processed within 7-10 business days of receipt of the Pre-Approval Request Form. 
Scholarship parents may initiate a request for reimbursement after scholarship funds have been disbursed into a scholarship student’s account. A copy of the approval must be attached to your request for reimbursement in ClassWallet. Any approvals issued are valid for the school year in which they are requested.
Important! Pre-approval of an expense does not guarantee pre-approval of the transaction in ClassWallet starting August 7. If insufficient funds are available in the student’s scholarship account to cover the cost of the item, the transaction will not be approved.

Check iconBe ready to provide: scholarship parent’s name and email address, name of the scholarship student for whom the request is related, age of the scholarship student, cost of the item or service, and a description of the intended use of and justification for the item or service.

Check iconYou may also include documentation justifying the expense (ex: Curriculum, Course Supply List, Extracurricular Equipment List, IEP (Individualized Education Program), SP (Services Plan), 504 Plan, Treatment Plan, Prescription by a licensed practitioner, or other document.

Expense Advisory Committee

ACE has convened a group of awarded scholarship parents with regard to approved and prohibited expenses. The Committee meets regularly and as needed to discuss expenses, how they align with the language and intent of the Utah Fits All law, and their educational uses for Utah families. ACE uses information provided by the group to make a determination about whether an item or service would be approved, denied, or require pre-approval.
